Choosing your chairs is only one part of planning event seating. Getting them into your venue—and collected afterward—also takes coordination.

A Brooklyn brownstone, a Manhattan rooftop, and a Queens banquet hall can have very different delivery requirements. Before booking chair rentals, confirm these details to help your rental team prepare an accurate quote and a workable delivery plan.

1. Confirm Your Venue’s Delivery Hours

Your event start time and your delivery time are two separate things.

Ask your venue when vendors can enter the building and when the room will be ready for setup. Some locations require a scheduled delivery appointment or only accept deliveries during certain hours.

Share both the venue’s access window and the time your seating needs to be ready. This helps your rental company determine whether the requested schedule can be accommodated.

2. Check Stairs, Elevators, and Loading Access

An address alone doesn’t tell your delivery team how the chairs will reach the event space.

Before requesting a quote, confirm:

  • Which floor the event is on.

  • Whether there are stairs at the entrance or inside.

  • Whether a freight elevator is available.

  • Whether the elevator needs to be reserved.

  • Where the delivery vehicle is permitted to unload.

  • How far the event space is from the unloading area.

Mention rooftop access, narrow hallways, or any route that requires carrying equipment through multiple areas. These details can affect the staffing, time, and cost involved.

3. Ask About Certificate of Insurance Requirements

Some venues require a certificate of insurance, often called a COI, before allowing vendors to deliver.

Ask your venue for its written insurance requirements and submission deadline. Forward the complete instructions to your rental company early, including the correct recipient and any required wording.

If your venue or event location changes, check whether the insurance documents need to be updated.

4. Decide Who Will Arrange the Chairs

Delivery and chair setup can involve different services. Confirm exactly what your quote includes.

Do you need the chairs delivered to an agreed location, or do you want the team to place each chair according to a seating plan?

If you need setup, provide the layout before event day. Include the number of rows, chairs per table, aisle placement, and any separate ceremony seating.

Also confirm who will move chairs if the same seating is being used for both the ceremony and reception.

5. Plan Pickup With the Venue

Ask when the rental items must leave the space. Your event may finish late in the evening, but the venue’s equipment removal deadline could be earlier—or it may allow collection the following day.

Confirm the requested pickup arrangements with your rental company before booking. If the building will be locked afterward, identify who will provide access and remain available for collection.

6. Send Complete Details With Your Quote Request

Having the information together makes it easier to discuss availability and delivery requirements.

Include your event date, full address, chair quantity, preferred style, venue access hours, stairs or elevator details, setup needs, and pickup deadline.

If something is still awaiting confirmation, flag it so it can be resolved before the delivery plan is finalized.
